  3. NRS-Online Functions
  1. Account Administration : Menu

Selecting the Acct. Admin button will display the menu below. These buttons provide access to the core Account Administration features of the Control Panel. It is recommended that only Administrators are given access to these features.

  2. Account Administration : Settings

This section of the Acct. Admin. Module is very important, and controls key functions of the Control Panel. The Account Administrator should ensure that only trusted users have access to these features. PLEASE REVIEW THE EXPLANATIONS OF THE PERMISSIONS. Setting permissions properly will help ensure that improper access, or improper modifications to the account do not occur.

    • Status: If you wish to deactivate your Account then set this to Inactive. Only high level Administrators will then be allowed to access the account to re-activate it. All other users will not be allowed to access any account features or data.
    • Account Owner and Location: The Account Owner CANNOT be changed without first contacting NRS-Online. The owner's location may be changed, and should reflect the domicile of the owner. NRS-Online recommends simply putting the City and State/Country here.
    • Service Plan, Start Date and Expiration Date: These values cannot be changed, unless the user adds another service to the Account.
    • Renewal Option and Renewal Method: Select the renewal option and, if appropriate, method to provide instructions to NRS-Online on what to do when your Plan expires. If you select Do Not Renew, then regardless of what is listed in the Renewal Method, NRS-Online will not renew the subscription. At such point, you will be notified of how you may later re-activate your account and access old data. Naturally, the Renewal Option/Method may be changed as often you need. You may make changes up until the day of expiration.

If you choose Send Invoice as the renewal method then an invoice will be sent to one or more of those listed in the Contacts section for the Account. Invoices must be paid within thirty-days to prevent any disruption in service.
    • ACCOUNT PERMISSION SETTINGS

Account Permission Settings for a User are the Level and Acct. Permission, as indicated in the User's Module. The lowest value for a permission is zero (0), and the highest value is nine (9). Levels are ranged by a title, from Limited Visitor to Super Admin. These names correspond to values of zero (0) through (9) as well.

Level names are used for ease of organizing permissions according to a particular User status. For example, it is recommended that only Users of a Level of Assistant Admin or higher have acceess to the Acct. Admin features. So, regardless of a permission level (0-9), if a User is not at least an Assistant Admin then they will not have access to the Account Administrative features.

A User must have both a sufficient level and a sufficient permission to access a feature. A sufficient value is equal to or greater than the required value in the permission settings. For example, if a feature requires a Level of Limited User and Account Permission of six (6) then only Users with both a Level of at Limited User level and an Account Permission of at least six (6) would be able to access the feature. For example, a User with Level of Limited User but an Account Permission of only four (4) would not be able to access the feature because the Account Permission value is not sufficient.

Proper setting of permissions is important in protecting Accounts from improper usage. Depending on the Permissions, Users will see or not see certain features.

In addition to Account Permissions, there are also permissions for NRS-Online features. These are edited in the NRS-Online Module's Settings section. The list below describes the more important feature settings.

      • Access Acct Admin: Required permissions to access the Account Administration features. If a User does not have sufficient permissions then the Acct. Admin button will not appear on their Control Panel
      • Access Acct Admin Settings: Required permissions to access the Settings forms within the Acct. Admin module. If a User does not have sufficient permissions then their Acct. Admin menu will not have a Settings button.
      • Edit Renewal Settings: Required permissions to update Renewal Settings within the Settings section of the Acct. Admin Module. If a user does not have sufficient permissions then they will only see the renewal settings but not be able to change them.
      • Acct. Admin Edit Account Status: : Required permissions to update the Account Status from within the Settings section of the Acct. Admin Module. If a user does not have sufficient permissions then they will only see the Status, but will not be able to change it. Only the highest level User should have access to this feature.
      • Acct. Admin Update Permissions: : Required permissions for updating the Account Permissions table. Only the highest level User should have access to this feature.
      • Add Support Message: Required permission to post a new message in the Support Module. Note, in order for a User to have permission to post a support message they must also have permission to Access Support. Furthermore, the User must also have proper permissions with respect to the Topic and Subject. If you want a User to only be able to view messages and not post messages, then ensure that they have a level or Account permission value less than the permission settings for this feature.
      • Access Acct. Admin Log:: Required permissions to view the Account log which tracks all activity in the Account. It is recommended that only the most senior Users have access to this feature.

In general, features have two set of permission settings: 1) for access and 2) for editing/updating. Some features have an additional setting for deleting, while others, like logs, have only one setting (for viewing). When maintaining permissions, it is important to to check the permission settings of each User against the permission settings of the features, and verify that the User has the access that you want to give him or her.

You will encounter dozens if not hundreds of permissions throughout the Control Panel and all the Modules. If you require assistance or find that you have locked yourself out of a feature, please contact support. If you are unable to use the Support Module, then use the Contact Page.

  3. Account Administration : Users

The Users Module will look similar to the forms below. The Module allows adding, editing and deleting users. Note, giving a User Level 9, and Acct. Permission 9 will give them Super Admin status for the Account. This means that, in addition to having access to all account features, the user will be able to delete all Account users and deactivate the Account.

    Add New User Identity:
      Identity   Status   Notify   Level   Permissions
      your-email@yoursite.com Acct:
    NRS:

    1. Adding a New User

To add a new user, simply enter the e-mail address of the user and click Add Identity. The system will generate the password and display it at the top of the screen, below the Acct. Admin Menu. You will be able to edit the Notify, Level and Status settings once the user has been added. E-Mails must be unique. The system will refuse to add a user if the e-mail is already in use.

WRITE DOWN THE PASSWORD after creating the Identity. There is no way to retrieve passwords. If you do not remember a password, the password will have to be reset. Only the User can change a password from within their My Settings module. If a password is forgotten then it may be reset via the login help page. This requires that the User respond to an e-mail.

    2. Editing a User

The Users modules allows editing the Status, Permissions and Notification status of the User. It does not allow editing the E-Mail/Identity. This can only be done from within the User's My Settings module. The Notification option allows a User to be notified when new messages are added to one of the Support subjects.

Deleting a User/Identity will free up that Identity/E-Mail address.

Setting a User's Status to Inactive will prevent them from accessing any of the Account's functions. However, the User would still be able to access My Settings for changing their password or Identity/E-Mail.

  4. Account Administration : Contacts
You may maintain three contact records in your Control Panel. NRS-Online recommends maintaining at least one. If any issue arises related to the Account, NRS-Online will first attempt to contact those listed in this Module (Primary first then Secondary then Tertiary). If contact attempts fail then NRS-Online will attempt to contact the Owner of the Account, if different than the contact(s).

The system will accept any information for the fields. To delete information, simply clear the fields and update the form.

The following forms are provided in this section.

None of the fields are required, and you may enter as little or as much data that you prefer.

Note, if a Contact wishes phone calls only after or during a certain time then include that in the fields. For example, see the entire entry for the Tertiary Contact's Tel #2 above. You may also add notes in any unused field.
  5. Account Administration : Billing
You may maintain two billing records in your Control Panel. NRS-Online though recommends recommends not keeping any billing information. The system will accept any information for the fields. To delete information, simply clear the fields and update the form.

The following forms are provided in this section.

If an Account number is in the system then only the last four digits will be shown. The system encrypts account numbers prior to storage and retrieval, and never shows complete numbers (unless they are less than four digits) in the browser.

The name and address fields must be exactly as they are on the statements for the account. No data is required. At billing time, NRS-Online will use the setting stored in the Settings section, and contact the Account contacts if further assistance is necessary. NRS-Online clients should not be concerned about timely billing as subscriptions are five (5) years in length, and no items are destroyed if a subscription expires.

As the fields can be used for any text, you may add notes in the unused fields, such as not to use a certain billing method during certain dates.
  6. Account Administration : Log

The Log is a text file that contains the primary actions that were made by Account Users as well as NRS-Online staff. The log contains when user's access the account, made changes, registered items, etc. The log grows quite lengthly in size, and is cleared on an ongoing basis. If you wish to retrieve an old log then you will need to contact NRS. Otherwise, to keep your own record of the logs, consider saving them offline on a regular basis.

Logs contain the following information: 1). The date and time of the action (Pacific Standard Time); 2). Who did the act (indicated by their E-Mail/Identity); and 3). a brief description of the action.
